Location Scout and Risk Assessment

This blog post contains the an analysis of  all the locations that we are going to film in, we analyzed the advantages and disadvantages and the possible risks and solutions of each location. This blog post was made by me (Kimora) with the help of  Tisha who did the first location and added the events in the scene explanation  


Record Cafe – Analogue Listening Space & Vinyl Cafe

Events in scene:

What will happen? 

In this location this is when the first scene and the last scene will happen.

Where the first scene shows both the artist and another character that plays

as the artist's partner will have their first interaction meeting each other.

Where the last scene will be showing both the artist and the partner

spending time and getting to know each other. 

Pros of location:

This location has the feeling that we are going for, especially: 

  • Vintage props in the location; the black sofa and wooden chair help emphasize the old vintage feeling. 

  • Good lighting; with good lighting it would be easier for us to do simple lighting edit to match with the aesthetic we want to do.

Cons of location:

This location is known to be hidden gem; but we know this place from our friend in which: 

  • Public space; the place may have other people that will be there using the place as it is a public space, in which we might need to ask permission from everybody who will be present in the background which can take a long time to get their consent.

Alternatives:

What other locations can you shoot at if there are issues here?

To follow the same aesthetic of record cafe that we want to do, alternative places would be: 

  • Vinyl Coffee Bar

  • Old Friends Coffee at Kj House Records

Risk Assessment 

Potential hazards:

What dangers are there?

  • Cables on the floor may cause tripping

  • Electrical hazards from plugs or cables

  • Risk of disturbing other customers in the cafe

  • Limited space which could lead to accidents while filming

  • Waitress working, which we might not see when we are filming so we could bump into them 

Evaluate risks: 

What bad things could happen?

  • Team members or actors could trip on cables

  • Minor electric shock if cables are not safely organized

  • Noise interference from customers could affect the audio quality 

  • Equipments or cafe property could get damaged if drinks spill

Control measures:

How will you prevent these from happening?

  • Avoid areas with a lot of cables and if there are cables, it should be placed or set aside properly to clear out the area for recording. 

  • Keep drinks and food away from the filming equipment to reduce chances of broken equipment.

  • Inform cafe staff that we will be recording in a certain area so they would not try to serve us during the shoot.

Responsibility:

Who will be in charge of the control measures?

Team members - we will make sure before shooting our scene we will do a

location check before we start such as: 

  • Making sure all cables are placed neatly

  • Creating a clear and organized filming area 

  • Informing cafe staff that we will be recording in order to gain permission

  • Team members that are available will also monitor the space during filming to prevent accidents. 

  • Testing equipment such as microphones before filming to ensure that the background noise does not affect the audio quality, as well as camera to ensure good lighting so we would not need to do the shoot twice. 

Time frame:

When will you have the control measure in place?

All control measures will be controlled and set up before filming begins on the day

of the shoot. Once we arrive, we will monitor the area and try to organize cables

and test the audio quality to ensure that the filming area is safe and clear.

Peninsula Island

What will happen? 

In this location it would be used to show one of the artist's date locations with the partner in the music video to show their connection and also builds connection between the artist and the music video aesthetic. Here they will be having interactions such as talking, running around and looking at the sea. 

Pros of location:

This location has the feeling that we are going for, especially: 

  • Overall location setting; this place has both a park and a cliffside overlooking the beach. It makes it more efficient for us to film making it look like the artist is in two different locations with two different feelings to it. 

  • Away from the crowds; as this location is sort of a hidden gem which means that not a lot of people have come to the place in which this would be good for our filming where there won't be any background characters 

Cons of location:

As this location is outside, there are several things that can be bad for our shoot like: 

  • Weather Condition; it may be windy and it could affect the audio quality if we plan to add natural sound or dialogue. Especially as the weather recently has been bad as there is rain that happens almost every day. 

  • Location Setting; uneven ground may make it difficult to place props or equipment. There is also limited shade with no facilities for resting and to protect ourselves from unexpected weather conditions like a very hot day and rain. when we do get tired from shooting and 

  • Charging; with this place being outside this could mean there will especially be no place to charge our equipment if it dies. 

Alternatives:

What other locations can you shoot at if there are issues here?

  • Melasti beach 

  • Pandawa beach

Risk Assessment 

Potential hazards:

What dangers are there?

  • There aren’t railings or safety signs on the cliffside 

  • Strong wind 

  • Uneven ground

  • It may rain since its currently Bali’s rainy season

Evaluate risks: 

What bad things could happen?

  • Team members or actors could slip or fall 

  • Props or equipment could be damaged by wind or sand

  • Props or equipment can be damaged by the rain

  • It can cause poor audio quality caused by the wind

Control measures:

How will you prevent these from happening?

  • Keep a safe distance from the cliff edge

  • Use weights to stabilize tripods or camera

  • Attach microphones to actors

  • Check the weather and wind conditions before filming

Responsibility:

Who will be in charge of the control measures?

Team members - we will make sure before shooting our scene we will do a location check before we start such as: 

  • set up safety boundaries

  • check the equipment stability

  • check the weather forecast

  • check the microphones to see if the audio quality is not affected by the wind.

Time frame:

When will you have the control measures in place by?

All safety and audio control measures should be completed before the filming starts and the weather check must be checked a day before the shoot.

Seminyak Beach

Events in scene:

What will happen?

In this location the beach will be used to show a closer connection between the artist and the partner, such as activities like; walking along the beach, talking while the sunset is shown in the background, and they could play in the water. This scene will be shown at the last chorus to give a good ending effect of the ‘day dream’ we are going for.  

Pros of location:

This location is different than the other beach that we will go as it has several pros such as: 

  • Good scenery; Seminyak beach is well known for its sunset views, so it will be great to incorporate this to our music video, and it also aligns with our moodboard.

  • Natural lighting; the natural light from the sunset can match the music video’s moodboard and aesthetic, this would also mean that we won't have to add extra lighting and bring more equipment.

Cons of location:

This location is known for a tourist destination in which: 

  • Public space; it can be crowded during the sunset hours making it more difficult to film without people passing by or disturbing the filming process.

  • Weather Condition; It can be very windy, so the props or the actor’s hair can be blown away, which would lead to doing multiple re-takes. 

Alternatives:

What other locations can you shoot at if there are issues here?

  • Kuta beach

  • Sanur beach 

Risk Assessment 

Potential hazards:

What dangers are there?

  • Waves could come unexpectedly and get the equipment or props wet

  • Strong wind could affect the audio quality or blow away the props or equipment

  • Rocks or uneven sand could cause someone to slip or fall

  • Crowds or tourists may accidently walk into the filming area

  • It can possibly rain due to the rainy season

Evaluate risks: 

What bad things could happen?

  • Equipment or props could be damaged by water, sand or wind

  • Team members or actors could slip or fall

  • Poor audio quality can be caused by wind

  • Disruption or delays caused by people entering the filming area

  • The sunset can be blocked due to the rain or dark clouds

Control measures:

How will you prevent these from happening?

  • Check the tide and weather forecast a day before filming

  • Find a less crowded area to film

  • Find an area with smaller waves and steady ground

Responsibility:

Who will be in charge of the control measures?

Team members - we will make sure before shooting our scene we will do a location check before we start such as: 

  • check the weather and tide forecasts a day before the shoot

  • test the microphones for the audio quality

  • avoid areas with bigger waves and rocks

  • find an area with less crowds

When will you have the control measures in place by?

All control measures will be prepared before the filming starts on the day of the shoot. Once we arrive, we will find an area with smaller waves and we will also test the audio quality

What will happen?

In this location it would be used to show one of the artist's date locations with the partner in the music video to show their connection and also builds connection between the artist and the music video aesthetic. Here they will be having interactions such as talking and walking their dog.

Pros of location:

This location will be another park that we wanted to do but it has its advantages like: 

  • Location; the location is quite near to where our team members and actors live, so it can be very easy to access and if we need reshooting we can do it easily.

  • The park allows visitors to bring pets, which allows us to follow our plan of filming the artist walking her dog with her partner

Cons of location:

Even though this location will be a good place to shoot but there are several setbacks we need to consider such as;

  • Constructions; there are currently constructions for the jogging tracks which limits our accessibility in filming in different areas of the park

  • Public Place; it can be very crowded during peak hours, which makes it difficult for us when we need a shot of the artist alone without people interfering in the scene

  • Weather Condition; it will be very hot during less busy hours, actors can be sweaty when filming during these hours which can reduce the appeal of the artist’s appearance and the overall music video

  • Noise Surrounding; It can be noisy as it is next to the main road, so it will be difficult to obtain good audio quality for our scenes.

  • Lumintang park

  • Puputan park

Risk Assessment 

Potential hazards:

What dangers are there?

  • Uneven grass or walking areas, some jogging tracks are under construction

  • There are many people cycling or skating during busy hours 

  • It can potentially rain

Evaluate risks: 

What bad things could happen?

  • Team members or actors can trip or get injured from the uneven grass or walking areas

  • Team members or actors could bump or crash into people cycling or skating

  • We won't be able to film if it rains

Control measures:

How will you prevent these from happening?

  • Try to film during less busy hours

  • Find areas in the park where there are no construction

  • Check the weather forecast a day before the shoot

Responsibility:

Who will be in charge of the control measures?

Team members - we will make sure before shooting our scene we will do a location check before we start such as: 

  • Check for areas with safe pathways and no constructions

  • Check the weather forecast a day before the shoot

  • Find a less crowded area to film

Time frame:

When will you have the control measures in place by?

Some control measures like checking the safety of the park and finding less crowded areas will be done as soon as we reach the destination while for checking the weather, it will be checked a day before the shoot.

Sindhu Market

Events in scene:

What will happen?

In this location it would be used to show one of the artist's date locations. Here they will be having interactions such as walking around the market, talking and buying food or souvenirs from the markets. Some short POV digicam scene being shoot here as well. 

Pros of location:

This will be the only market place that we choice to use because; 

  • Free; there is no entry fee, so we will not spend money for this scene excluding personal expenses. 

  • Location; there is an indoor area, so we can still film if it rains and it’'s easy for our team members and actors to access this place since its near to where they live

  • Cheap; food and souvenirs are cheap and affordable so when we need to use some food for the scene we will not need to spend too much. 

Cons of location:

Especially as this market is quite known by people, this may be a challenge because: 

  • Public Space; it can be crowded during busy hours, making it difficult to film.

  • Location; the food stalls are mostly outdoors, so it can potentially rain so we may not be able to shoot if this happens.

  • Disruption; as we will be shooting it can potentially disturb the customers or visitors.

  • Background Noise; the background noise of the busy market can affect the audio quality.

Alternatives:

  • Ubud market

  • Kuta market

Risk Assessment 

Potential hazards:

What dangers are there?

  • it can potentially rain due to the rainy season that has been happening this past couple of days

  • narrow / crowded pathways 

  • heat and humidity

Evaluate risks: 

What bad things could happen?

  • we won't be able to film if it rains

  • we can potentially bump or trip in narrow or crowded pathways

  • it will be difficult to film in crowded areas, we would have to do multiple re-takes if there are many interference from other people

  • the heat can cause the actors to sweat which can affect their appearance and appeal

Control measures:

How will you prevent these from happening?

  • film during less busy hours or less busy days of the week

  • check the weather forecast a day before filming

  • film in open areas with larger space

  • bring portable fans incase if it gets hot while filming

Responsibility:

Who will be in charge of the control measures?

Team members - we will make sure before shooting our scene we will do a location check before we start such as: 

  • check the weather forecast a day before the shoot

  • check for less crowded areas to film

  • ask food stalls for consent to film

Time frame:

When will you have the control measures in place by?

to check the weather, we will check a day before the shoot, and for the other control measures, we will check and find a place to film as soon as we reach the location

Reflection: Overall it was easy to think of the locations we are going to film in, there were many good options to choose from however most of the good spots that can visually match our music video's aesthetic are far to get to, especially since our filming deadline is pretty near, it will be difficult to find time to film in those locations. We have our exams coming up and after that our actor Kellie wont be able to film because she will be going overseas. Therefore we chose realistic locations that we can find time to film at. It also took us some time to think of the pros and cons of each location and it took a longer time than expected to complete the location scout. But overall by discussing things with my team members we get to think of ideas that some of us didn't thought of.

Storyboard + Lyrics

Storyboard
A storyboard is used to plan how visuals will appear within a media product. It is especially important for this project because music

videos often rely on a clear storyline to convey their meaning. Creating a storyboard helps to organize the narrative and allows the audience to understand the message and feeling that is being shown more effectively.

Draft Idea 

Before I start on making the storyboard, me and my team decided to sit together while listening to the whole song to understand how

the mood will change throughout the song.

After this discussion, we decided to start creating a simple plotline that will happen in several places as we are planning to show dates from the couple. In which this is the final draft that I focus on to create the storyboard from.

Lyric Sheet Idea
As music videos create their story / visuals that they want to show not in order, this would mean that creating a storyboard for this project would be different from my previous storyboard that I have made. So we decided to plan the whole music video based on the lyrics of the song.

From this lyric sheet planning, we can see how the draft ideas started to come to life by arranging them to fit the song lyrics, which eventually developed into a full plotline. Making this lyric sheet was very useful because it allowed different scenes to be planned even if they were not in order. It would have been difficult to draw scenes that jump between different moments without following a clear sequence, so the lyric sheet was extremely helpful.
This process in creating the lyric sheet made the overall idea of the music video become easier as I could experiment with how each scene connects to the meaning of the lyrics.


To create an even deeper understanding of the lyric sheet me and my team decided to create a whiteboard. This whiteboard purpose is to add visuals like photographs and videos that matches the idea from the planning inside the lyric sheets.




Online Storyboard 



As my previous storyboard was hand-drawn, I decided to explore other methods to create a clearer and more easily visualised storyboard. That’s when I found an online application called ShotStager, which allowed me to present my ideas in a more organised and professional way. The platform includes useful features such as simple scene layouts and camera movement previews, which helped me understand how each shot would look in the final music video.


Here is how the ShotStager interface appears:

As you can see, this version is much more complete and the process of creating a digital storyboard was very effective and I enjoyed working with it. The digital tools like the marker to draw the simple location and the camera movement and character placement helped me visualise the camera movement and camera angles that I have used in the scene which strengthened my overall planning.

Here is the final online storyboard I developed in the application ShotStager. I included the song in the background to help create a clearer sense of the mood and pace that the music video will follow.

Even though making the online storyboard was very useful with all the features, there are limitations like how the location and props look like in the scene. So I decided to also hand-drawn the storyboard as it allows a more in depth visuals of the storyline and plot but only the visual and not how the camera movement is seen in the scene.

Reflection: Even though I didn't draw the storyboard, I still contributed by giving ideas during the drafting process and I actually enjoyed that part a lot. Brainstorming scenes with my group helped us understand the flow of the music video better. Working together on the storyboard and lyrics also made everything clearer because we could visualize how each scene would look like and avoid misunderstandings.


Moodboard

 This blog post contains the mood board for our music video project, this mood board was created by Cassie and Kellie, and this blog post was created by me (Kimora)


A mood board is a visual tool that helps guide the overall look and feeling of a media product. It gathers images with similar styles or colours to show the aesthetic we want to achieve. For our music video, the mood board helps everyone on the team understand the same creative direction and stay consistent with the tone and atmosphere we are aiming for.

For this project, we chose the song POV by Ariana Grande, which has a soft and emotional feeling. The music and lyrics focus on love and connection, so we decided to build our visuals around two characters and the moments shared between them. Each mood board highlights a different aspect: Ellie, Karl, the couple together, and the locations where their dates take place.

Characters:

  • Ellie Collins
    Ellie is a girl who enjoys quiet moments, she loves sunsets, reading, taking photos and spending time with nature. Even though she's introverted, she becomes warm and expressive once she feels close to someone. That's why her mood board includes soft lighting and pictures of people smiling in a genuine way. She also feels appreciated through food or small gifts, so these elements appear in her visuals too.

  • Karl William
    On the other hand, Karl has a darker and more gloomy aesthetic. His mood board uses deeper tones and dim lighting to match his personality. He may look serious, but he has a gentle side that only shows up around people he really cares about, like Ellie. He likes to make Ellie laugh and capture the moments they spent together, so a part of his mood board will show him being thoughtful and playful at the same time.

  • The couple together
    The kind of couple we are trying to portray is a couple who can be mature in the right situations but still enjoy doing silly or childish activities together like going on arcade dates or simple activities like splashing each other in the beach. They're the type to be able to create memorable memories in any kind of place, like from a simple stroll around the neighborhood to romantic dates in the restaurant. They love to capture the most simplest moments to be treasured and to be looked back at in the future.

  • Their Dates
    The couple enjoy simple and spontaneous dates where they can have fun and create memorable memories from any kind of date spot, from a simple walk around the park to spontaneous motorbike rides. We plan to go for this aesthetic to create more feeling and allow the audience to relate to these scenes. We focus on a vintage and retro vibe, we plan to show this through the couple going on a record player cafe date, taking vintage photobooth photos and using a vintage digital camera to capture simple moments in their dates to conform to this aesthetic.

Collaboration Platform => Pinterest
Pinterest is a platform that provides images or videos where we can save them as inspirations. To create our mood boards, we first made a shared Pinterest board that all our group members can access and put in photos or videos that matches our music video or character's aesthetic. 
Using Pinterest to create our mood board is very useful, we can find a picture or video that is suitable for the music video's aesthetic and below it, it shows more visuals that have a similar vibe or aesthetic, therefore its easier to find a style or aesthetic we will go for. The collaboration feature is also very important as it allows us to visualize the same idea for the characters.

Reflection: Overall I really enjoyed the process of collecting ideas for the mood board, It allowed me to visualize and develop more ideas that we can implement in our music video. Other than that, I really liked the collaborative feature of the platform as we can compile all our ideas into one board. It makes it simpler and easier for us to have the same idea of the music video and not have any misunderstandings.

Classwork: Persona

This blog post contains our group's plan on our artist's persona, this presentation was made by everyone as we split tasks between each member, but overall Cassie added more work for the presentation.

Reflection: Overall by doing this classwork, it helped me understand more about persona, how different people have different personas and how each person has their on-screen and off-screen persona. By doing a research about different artist's persona, we get to find inspirations of how our artist is going to be portrayed. This made it more easier for us to match the visuals and aesthetics of the music video with the artists.

Classwork: Editing

 This blog post contains a classwork on an attempt to edit with the technique cut to the beat.


In class, we were given an editing classwork on how to cut to the beat. In this classwork I was working with Tisha and Kellie. We were given footage and photos that were taken during our school's fun run event and we were given the chance to choose our own song. There were two google drives that contained photos and videos that were taken during the event and we had to pick several photos and videos for our classwork.

Classwork: Cut to the Beat by kimora

Reflection: Even though I didn't take part in the editing process, this classwork helped me understand how important editing techniques like cutting to the beat are in making a video more engaging. By working with my group and observing the process, I was able to see how selecting the right clips and matching them with the music can affect the overall flow and mood of the video. This gave me a better understanding of how editing contributes to the final product, which will be useful for my own project.
